Elections & General Meetings

Elections ensure the continuity of your club beyond your time at university. They occur annually at an Annual General Meeting chaired by the President, typically held between January and April. The meeting must be announced at least two weeks in advance to all members. Members vote on the next year’s officers, and the secretary records minutes. Election results must be shared. The treasurer also presents a financial report. For guidance on conducting elections, contact clubs@lusu.ca beforehand to ensure a fair and transparent process, crucial for the club’s annual renewal and approval.

Please make sure you call your general meeting. If you don’t do that, your club will face serious difficulty receiving a renewal next year. If you can’t get enough members together for a general meeting, the model constitution allows officers to appoint their successors after a certain number of attempts.

Members have the right to call a Special General Meeting if they are dissatisfied with how the club is being run or managed, allowing them to vote on constitutional changes or replacing officers. It’s crucial to address members’ concerns promptly to prevent reaching this stage. Fortunately, most clubs do not encounter such difficulties.

Club Constitution Amendments

If you need to make changes to your club’s constitution after you create your club, you must get your members to approve the changes at a general meeting. Once the changes are approved, you must upload the documents to the online club application for approval by LUSU.
