Risk Management

Plan Ahead. Protect Your Club.

Effective risk management helps your club identify, assess, and reduce potential risks before an event or activity takes place. It protects your members and guests, improves your event planning, and helps ensure your club meets LUSU and Lakehead University requirements.

Every club event on or off campus must be submitted through the Event Submission process in Clubs Den and approved before it takes place. Your submission gives LUSU the information needed to determine whether your event requires additional risk-management forms, waivers, insurance documentation, or Lakehead University approval.

Submitting an event does not automatically mean it is approved. Do not proceed with the event, sign contracts, or make non-refundable commitments until the required approvals are in place.

Start Early

Most regular club activities can be reviewed through the standard event-submission process. Events requiring special authorization, additional risk management, catering, unusual equipment, specialized setup, amplified sound, or other coordination need more time.

Submit special-event requests at least:

  • 20 business days before the event for Thunder Bay.
  • 30 business days before the event for Orillia and Barrie.

Complex events may require additional time.

Every Event Needs an Organizer

Every event must have a Primary Event Organizer (PEO). The PEO must:

  • Be a current member of the club.
  • Take responsibility for the overall planning and management of the event.
  • Attend the event for its entire duration.
  • Act as the main contact for LUSU, Lakehead University, the venue, and other event partners.
